Committee Descriptions

Accounting

-Oversee In-hand/Counting and Financial Planning & Analysis Chairs
-Maintain donation database and fundraising database
-Keep track of all received donations and organize fundraising letter campaign
-Count and deposit all money
-Record all checks and other donor information

Alumni Relations

-Oversee Events, Communication, and Fundraising Chairs
-Collaborate with Alumni Board weekly
-Create in and out-of-state IUDM alumni events while extracting maximum participation at existing IUDM functions
-Utilize IUDM alumni who live outside the tri-state area via IUDM alumni chapters based on location
-Work closely with IUAA, further utilizing their resources to keep alumni aware of current affairs
-Solidify future IUDM alumni involvement from graduating members – gather contact information
-Alumni include any post-marathon Executive Council member, Chairperson, Dancer, or Mass Member

Apparel & Merchandising

-Design and order all IUDM apparel and accessories
-Oversee all apparel and accessories sales in the office, at IUDM events, and online
-Create and maintain a database of the groups purchasing IUDM apparel and accessories to identify potential areas of growth
-Advertise apparel, the IUDM office store, and IUDM online store to students, donors and alum
-Plan and oversee Runway Riley in September
-Focus on design of apparel as well as developing the business aspect of apparel and merchandising.
-Develop the online website for apparel and merchandise
-Implement a system for ordering and shipping of apparel and merchandise
Catering

-Oversee Food Fundraisers, New Donors, and Old Donors Chairs
-Solicit all food for the marathon for over 1000 participants
-Ensure that all food donors receive proper sponsorship benefits, including but not limited to opportunity to put items in Dancer —–Bags, banners at the marathon, 1-hour recognition time, etc.
-Provide food at any other IUDM sponsored events requiring catering needs i.e. Golf Outing

Corporate Relations

-Oversee Events & Stewardship, Sponsorships, and Internal & Education
-Update sponsorship levels/benefits and create corporate solicitation packet (CSP)
-Coordinate with IUDM Alumni Board to solicit sponsors for special events (spring) and the marathon (fall)
-Seek out sponsorship contacts within the IU/IUDM community – committee members, alumni, previous sponsors, and university funding
-Assist other committees within DM when securing in-kind donations for auction items, golf outing, dancer incentives, etc.
-Ensure that all sponsors receive appropriate benefits
-Maintain relationships with sponsors from previous years
-Organize annual Corporate Awareness Luncheon during the Spring for all potential and past sponsors

Dancer Relations

-Oversee Dancer Group Representative from Greek organizations, Dancer Education & Awareness Chair, and Color Wars Chair
-Recruit Dancer Group Representatives and hold weekly meetings
-Responsible for relaying all IUDM information to DGRs and Dancers
-Recruit Dancers from organizations
-Educate Dancers about the Marathon through Dancer Education meetings
-Organize Dancer registration and physical check-in at the Marathon
-Organize Color Wars groups and promote and monitor Color Wars leading up to the Marathon

Entertainment

-Oversee Acts, Bands, and Games, and Skits & Clips Chairs
-Solicit bands, speakers, and alternative acts for  the entire 36-hour marathon
-Provide bands for any IUDM event, i.e. spring/fall   concert, date auction, and celebrations
-Promote bands that will be playing at the   marathon
-Create and run floor games that are at the   marathon
-Create and perform skits at the marathon
-Stay in Contact with CHAMPS Program for IU  Athletic Department, in order to ensure participation of IU Athletes at the Marathon
-Organize DM Idol leading up to the marathon and  run it at the marathon
-Organize 3 v 3 Basketball tournament
-Create Clips for every theme Fundraising

Fundraising

-Organize entire council off-campus, fundraising opportunities
-Provide dancers and committee members with fundraising opportunities to help each DM participant meet and exceed their fundraising goal
-Organize all canning including weekly locations, Fall and Spring Road Rules, classrooms, etc.
-Coordinate dancer care packages to be given to dancers at the marathon
-Plan and organize fundraising events for fall and spring semesters
-Organize all summer fundraising opportunities for DM participants

Logistics

-Oversee Logistics of events such as Kirkwood’s Rockin’ 4 Riley
-Organize layout, setup, and teardown of the marathon
-Coordinate security efforts at the marathon
-Work with Physical Plant, Building Services, and SRSC/HPER administrators
-Create a timeline to coordinate the marathon
-Construct/Manage a database of all IUDM members (Excel/Access skill encouraged but not required)
-Construct/Maintain a user generated blog site for IUDM members inspirations and testimonials
-Coordinate with Entertainment to develop events such as Kirkwood’s Rockin’ 4 Riley
-“IUDM Gives Back”-Organize IUDM wide volunteer opportunities at local volunteer organizations in efforts to create better community outreach and year-round service within IUDM

Marathon Relations

-Oversee High School Marathon Chairs
-Maintain communication with our mini-marathons to help plan and put on their marathon.
-Attend at least one in person meeting with all first year mini marathon schools.
-Build new relationships with high schools around the state
-Provide fundraising opportunities for High School Marathons
-Maintain relationships with other College Dance Marathons and CMN
-Work closely with Director of Morale to organize line dance teaching and morale at mini marathons.

Marketing

-Oversee Campus Education, Event Documentation, Social Media and Branding, and Videos
-Social Media Subcommittee is comprised of a Twitter Guru and a Facebook Guru both of whom are in charge of promoting every event and keeping all followers aware
-Maintain and constantly update the IUDM website via the Website Guru who is fully responsible for daily website upkeep
-Responsible for all electronics within the IUDM office
-Coordinate production and distribution of marathon videos (Road to DM and others)
-Promote all events i.e. the marathon, golf outing, gala, etc.
-Coordinate ALL campus promotional activities: chalking, flyers, emailing student organizations and presidents of Greek houses, and promotional tables at fairs
-Produce the live webcast at the marathon
-Take pictures of events throughout the year
-Responsible for ALC and RW awareness on campus (Ryan and Ashley Week)
-Responsible for Spirit week to raise awareness about Dance Marathon

Morale

-Comprised of four subcommittees: Color Wars, Stage Games, Line Dance and Events
-Responsible for keeping dancers excited, motivated and engaged
-Create and teach the official IUDM line dance
-Prepare and run Color Wars competitions among dancers before and during the marathon
-Create and oversee stage games and entertainment at marathon
-Attend and assist at Indiana high school marathons

Public Relations

-Oversee Media, Press, University Relations, and Community Outreach
Chairs
-Work with all state-wide and national media outlets including television,
radio, and newspaper to publicize events and other noteworthy causes
-Produce IUDM program, press kits, and press releases
-Work with IU Athletics Department, Office of First Year Experience, and
other student organizations to plan events to increase IUDM awareness
-Oversee Faculty Advisory Board and maintain constant communication with
IU faculty, staff, and deans to garner increased university support
-Work with Riley PR and local officials organize and staff community
outreach events throughout the year

Recruitment

-Oversee Miracle Makers/Organization Relations, Neighborhood Recruitment Council, and Residence Hall Representative Council Mentors/Freshman Experience Chairs
-Recruit dancers and miracle makers from all organizations and independent students through call-outs, advertisements, and networking
-Recruit and coordinate Residence Hall Representative Council, RHRC, through RHA and dorms
-Recruit independent dancers through neighborhoods and NRC
-Maintain and work with President to build relationships & partnerships with the organizations on Dean Advisory Board and RHA
-Organize and develop miracle maker program

Riley Development

-Oversee Education, Family Recruitment & Relations, Riley Tent, and Special Events Chairs
-Work with Riley Hospital to plan events
-Establish and maintain relationships with Riley families
-Educate Dance Marathon participants about Riley Hospital
-Accommodate Riley families and plan events for Riley kids during Dance Marathon weekend

Special Events

-Oversee Campus Events, Gala, and Sporting Events Chairs
-Organize Campus Events
-Plan the Golf Outing – sponsors, teams, gifts, raffle items, etc.
-Plan and execute the IUDM Gala
-Plan and execute the annual Torch Relay
-Create new events adding to the overall goal of IUDM
-Plan sporting events for Dance Marathon
